Graduation Committee
What is a graduation committee?
It is a group composed of five individuals, graduates of the course, who will represent the wishes of the entire class and also carry out activities on behalf of their fellow graduates. Once the committee representatives are chosen, general rules should be established, written in a Statute (optional), for greater transparency of actions.
What members make up the committee?
To ensure that activities are carried out in an organized and efficient manner, a graduation committee should consist of a president, vice president, treasurers, and a clerk or secretary.
What are the responsibilities of each of them?
The president coordinates all actions of the committee, in addition to making general decisions, researching costs, contacting suppliers, communicating decisions to the graduates, and organizing the graduation ball and ceremony.
The vice president assists the president and, in their absence, assumes the role.
At least two individuals should be appointed as treasurers, who will be responsible for payments, collection of fees, financial control reports – detailing how the collected money has been used or will be used – and setting values. It is also the responsibility of the treasurers to manage debts – deadlines and amounts –, payments from each graduate, and the application of fines and interest (optional).
The clerk or secretary records the decisions made in the assembly minutes.
What is a cash flow? Who prepares it?
Cash flow is a document that contains all income and expenses related to the graduation event. This report should be published monthly by the committee's treasurers. The current status of each graduate's debt should also be reported in the cash flow.
How should the committee's decisions be made?
All administrative decisions must be approved by a vote in the assembly. The secretary records the matters and decisions in the minutes. This document is signed by the president of the graduation committee. It is the committee's responsibility to implement the decisions made.
Do the elected representatives of the graduation committee need to be announced?
Yes. As soon as the members of the graduation committee for each degree program are decided, it must be communicated to the Events Supervision. The names and contact information of each member of the graduation committee are required. A form for online submission will be available soon.
